How to choose an AI productivity tool
Instead of asking what a tool can do, ask where it sits. A tool that replaces something you already use has to beat the incumbent by enough to justify migrating everyone and everything. A tool that sits alongside only has to be worth opening.
Most disappointment here comes from tools sold as the second while quietly assuming the first. Notes, tasks, and documents are sticky; an AI layer on top of them is not a small switch.
For anything that captures meetings or conversations, capture method is the whole decision. A bot that joins the call is visible to everyone present and subject to their consent; local capture is not, which is more convenient and shifts the legal question onto you. Recording consent rules differ across the region, and one-party consent is not a safe assumption.
Finally, check what leaves. These tools work because they read your calendar, your inbox, and your documents. For that same reason, a self-hosted or local-first option is worth the friction for anything sensitive.
